Virginia State Government ROTC University Liaison - Administrative Coordinator in Norfolk, Virginia
The United States Army Reserve Officer Training Program (ROTC) College of Science, Engineering and Technology, CSET at Norfolk State University, invites nominations and applications for a ROTC University Liaison/Administrative Coordinator.
Reporting directly to the Professor of Military Science, this position requires one to work with discretion and confidentiality.
The candidate selected for this position will be responsible for the following duties:
Advise the Professor of Military Science (PMS) and all faculty on university events, situations or dynamics that may impact the ROTC program.
Ensure that ROTC operations are integrated and does not conflict with other departments, school programs or events on campus.
Serve as departmental liaison on university-wide committees for academic advisement, registration, student orientation and graduation.
Coordinate and monitor marketing, recruiting and administrative support which fully integrates the university and Army ROTC admissions program.
Act as representative of the PMS by maintaining frequent contacts with public and private executives, and other officials.
Process all new cadres to include but not limited to all computerized system access, university required and/or recommended training, new hire education, parking permits, faculty ID, and key control.
Provide section briefings to PMS and all new cadre within two weeks of their arrival.
Ensure all cadets are enrolled, attendance reported, grades submitted, completed or dropped.
Ensure all new faculty receives and are educated on university policies, procedures, regulations and points-of-contact upon or prior to arrival.
Conduct analytical research in support of the Army ROTC five year recruiting plan and annual program review for input to the command’s yearly viability studies, strategic plan and academic mapping.
Prepare confidential executive summaries and evaluations in support of the PMS for special reports, recurring periodic reports and assessments, personnel evaluations, investigations, inspections and replies to congressional staff, state, federal, military and university officials on controversial or sensitive matters.
Serve as system administrator and security officer for department’s computers and telecommunication systems.
Manage and expedite the flow of correspondence (physical and electronic), records, and other documents to maintain the appropriate level of security and confidentiality.
Schedule and maintain the PMS’s calendar, monitor budgets, and maintain property and equipment records.
Monitor resource management controls to ensure proper utilization of university funds.
Special Assignment: Serve as lead staff coordinator for university and other sponsored events.

Considerable knowledge in University, CSET and Army ROTC systems, policies, and procedures.
Considerable knowledge in student information systems and Army utilized systems such as Colleague, Blackboard, CCIMM, and SAVES.
Considerable experience using Microsoft Office suite programs, i.e. Word, Excel and PowerPoint.
Demonstrated ability to be proactive, collaborative, and team-oriented.
Demonstrated ability to be customer-service oriented with the ability to use problem resolution techniques when serving customers.
Demonstrated ability to interact well with administrators, faculty, staff, students and the general public.
Demonstrated ability to prioritize work, monitor and reconcile budgets.
Demonstrated ability to communicate effectively orally and in writing with diverse audiences.
Bachelor’s degree preferably in secretarial science, business administration, or related field, or combination of experience and training that provides the requisite knowledge, skills, abilities and experience.
- Prior military service as a Senior Non-Commissioned Officer or Officer.
